How To Create An Email Template
You can create 4 different types of email templates in Salesforce:
- Text – You can create plain text email templates to send to recipients who cannot read HTML email. All the users can create or change text email templates.
- HTML with letterhead – A letterhead specify the logo of your company, page color, and text settings for your HTML email templates. Use letterheads to ensure a consistent look and feel in your each and every company’s emails. Admin as well as users with the “Edit HTML Templates” permission on their profile can create HTML email templates based on a letterhead.
- Custom HTML – You can create custom HTML email templates without using any Classic Letterhead. If you do not have any idea about HTML, you can paste HTML code into your template. Administrators as well as users with the “Edit HTML Templates” permission on their profile can create custom HTML email templates without using a letterhead.
- Visualforce – Visualforce email templates allow US for advanced level of merging with a recipient’s data, where the content of a template can contain information from one or more then one records. Admins as well as developers can create templates using Visualforce code.
Note: All of these above email templates can include text, merge fields, and attached files. If you want you can also include images on your HTML and Visualforce templates too based on the requirement.
You cannot send a mass email using a Visualforce email template.
How to create/access an Email Templates, do one of the following:
1. From Quick search goto Communication Templates > Email Templates.
2. Click New Template button
3. Choose any type of email template as per your requirement and click Next button
4. Enter all details on this screen as below:-
- Folder: Select Folder where we want to save this Template.
- Template Name: Name of Email template.
- Description: Add Description about email Template
- Subject: Add Subject which should appear in email sent using this Template.
- Body: Body for email sent using this Template.
5. Finally Click save after entering all details and Text Email Template will be created successfully.
Note: Email templates used in the following features must have both public and active:
- Web-to-Lead
- Web-to-Case
- Email-to-Case or On-Demand Email-to-Case
- Assignment rules
- Escalation rules
- Auto-response rules
In Lightning Experience: How To Create An Email Template
Step 1. In Lightning Experience, Setup > Email >Classic Email templates
Step 2. Click New Template button
Step 3. Choose any type of email template as per your requirement and click Next button
Step 4. Enter all details on this screen as below:-
- Folder: Select Folder where we want to save this Template.
- Template Name: Name of Email template.
- Description: Add Description about email Template.
- Subject: Add Subject which should appear in email sent using this Template.
- Body: Body for email sent using this Template.
Step 5. Finally Click Save after entering all details and Text Email Template will be created successfully.
